Export Payroll Overview

Overview

Export Payroll is an alternative to Export Timesheets, found in Finance and Payroll toward the bottom of the menu. Both options get your timesheet data out of FlowLogic via API or CSV, but Export Payroll offers a more detailed view and some additional calculations that may suit certain award interpretations or EBAs.

If you’re unsure which option is right for your organisation, speak with a FlowLogic staff member or onboarding specialist before switching over. More detail doesn’t necessarily make Export Payroll the better choice – both options have their strengths depending on your setup.

Filtering and Searching

The filtering works much the same as Export Timesheets, with a few additions. In addition to the standard payroll period and staff filters, you can filter by area and search across timesheets, completed roster shifts, published roster shifts, and employment type. Select your payroll period, apply any filters, and click Search Entries to load your results.

Financial Overview Widgets

Once results load, a row of quick overview widgets appears at the top of the screen showing the number of staff being exported, any warnings, exportable cost or pay, and projected profits.

Clicking Show All Widgets expands this to include graphs and breakdowns covering overtime, cost categories, income sources, pay by area, profit and loss by area, profit and loss by day, and work distribution. Individual widgets can be toggled on or off to suit your preference.

Reports

A reports section at the top of the screen includes overtime reports, clustered overtime reports, timesheet reports, timesheet kilometre reports, a roster full preview report, and a roster kilometre report. Most of these are also available in the Reports section of the left-hand menu, so Export Timesheets users won’t miss out on this data.

Reviewing Timesheets

Each timesheet entry shows the staff member’s name, cost category, a shift summary, and a link to their profile. You can toggle between a cost view and an income view – the cost view shows how each shift has been calculated, while the income view displays the rates applied against service item codes for staff with billing on their shifts.

At the top of each entry, pie charts show income and cost percentages, dollar figures, and a breakdown of active time, inactive time, and travel. These summaries make it easy to spot anything unusual before exporting.

Once you’ve reviewed your entries, use the filters at the top of the results list to narrow by cost, income, staff name, hours, or area, and sort in ascending or descending order if needed. Pagination at the bottom of the list helps when working through a large number of entries.

Exporting

When you’re ready, click Export Pays in the bottom-left corner. Everything loaded on screen based on your search criteria will be exported via API or CSV, depending on your system configuration.
