2FA/MFA Settings and Setup

Overview

Two-factor authentication (also called multi-factor authentication) is a security feature that verifies your identity when logging into FlowLogic. It ensures that sensitive data is only accessible to verified users and is required for all accounts in the system.

Authentication Rules

How often you need to authenticate depends on your level of access:

  • Users with financial access (such as exporting timesheets or invoices) – required to authenticate every single day when logging in
  • All other users – required to authenticate once every 30 days by default, though this can be reduced to as low as daily if your organisation requires a higher level of security


Authentication Methods

There are a few options for how authentication is delivered:

  • Email or SMS only
  • Authenticator app combined with email and SMS
  • Authenticator app only

The right choice depends on your organisation’s security preferences. Speak with your administrator or FlowLogic support if you’re unsure which method is in place for your system.

Setting Up Authentication for the First Time

When you log in for the first time, you’ll be guided through the authentication setup process. Here’s what to expect:

  1. Enter your login details using the default password provided to you
  2. You’ll arrive at the authentication setup screen, where you’ll link your account to an authenticator app



On a laptop or desktop
– open your authenticator app on your phone and scan the QR code displayed on screen.

On a phone, you won’t be able to scan the QR code directly. Instead, copy the key displayed below the QR code and paste it manually into your authenticator app.

We recommend using either Google Authenticator or Microsoft Authenticator, both of which are free and available on the App Store and Google Play Store.

Once the app is set up, it will generate a time-based code. Enter that code into the FlowLogic login screen to verify and complete the setup.

If your password has also expired, you’ll be prompted to set a new one at this stage. Follow the password requirements listed on screen, enter your new password twice to confirm, and you’ll be taken straight into FlowLogic.

Logging In After Setup

Once authentication is set up, FlowLogic will remember your verification for the applicable period:

  • Standard users – you’ll be asked to authenticate again after 30 days
  • Financial access users – open your authenticator app each time you log in, copy the current code, and enter it alongside your username and password
