So far, we’ve covered:

  • Text Fields

Now, let’s explore additional field types that add more flexibility and structure to your forms.

Rich Text Box

The Rich Text Box allows formatted content entry.

You can:

  • Bold, italicise, underline text

  • Add hyperlinks

  • Insert tables or grids

  • Structure paragraphs clearly

This field is ideal for:

  • Detailed notes

  • Instructions

  • Structured reports

  • Sections requiring formatted content

It enhances readability and presentation compared to a standard text field.

Dropdown List

The Dropdown List allows users to select a single option from a predefined list.

Common uses include:

  • Medications

  • Allergy types

  • Status options

  • Categories

This ensures consistent data entry and avoids spelling errors.

Editing a Dropdown List

  1. Go to System Menu → Forms

  2. Click Edit on your form

  3. Go to the Fields tab

  4. Click Edit on the dropdown field

  5. Under Field Value Resource, select Edit List

From here, you can:

  • Add new rows

  • Delete options

  • Rearrange options

  • Sort alphabetically

You can also switch to manual text mode and enter values line by line.

Multi-Select Dropdown

The Multi-Select Dropdown allows users to select multiple options.

There are two ways to configure this:

Manual List

Create and maintain options yourself.

Record List (Dynamic)

Reference an existing record type, such as:

  • Staff

  • Participants

  • Other system records

For example:

If referencing the Staff record list, the dropdown automatically pulls live staff names from the system. This removes the need for manual updates.

This is ideal when the list changes frequently.

Radio List

A Radio List allows selection of a single option.

Visually displayed as circular selection buttons.

Best used when:

  • You want users to clearly see all options at once

  • Only one selection is permitted

Options can be manually created or linked to a record list.

Checkbox Field

The Checkbox allows multiple selections.

Unlike a radio list, users can select:

  • One option

  • Several options

  • All options

Useful for:

  • Multiple conditions

  • Consent acknowledgements

  • Multi-category selection

Layout Fields

Layout fields help improve form structure and readability.

They do not collect data – they organise a presentation.

To access layout fields:

  1. Add New Field

  2. Scroll halfway down the field type list

  3. Locate Layout Fields

Headline Field

Adds a bold section heading.

Example:
“Staff Compliance Requirements”

Use for:

  • Breaking up long forms

  • Highlighting major sections

  • Improving navigation clarity

Subheading Field

Smaller than Headline.

Best used for:

  • Supporting instructions

  • Section clarification

  • Context under a main heading

Single Space Field

Adds spacing between fields.

Useful for:

  • Separating sections

  • Preventing crowded layouts

  • Adjusting visual alignment

  • Moving fields into position

For example:

  • Isolating a checkbox to one side

  • Creating breathing room between fields

  • Separating form sections visually

Editing Existing Fields

To edit any field:

  1. Go to System Menu → Forms

  2. Click Edit on the form

  3. Open the Fields tab

  4. Hover over a field

  5. Click the Edit button

You can then:

  • Change field type

  • Update list values

  • Modify labels

  • Adjust layout

Reviewing the Live Layout

After configuring fields and layout:

  1. Click Save

  2. Open the form as a user would

  3. Review:

    • Headings

    • Spacing

    • Dropdown behaviour

    • Multi-select alignment

    • Rich text formatting

This ensures usability before full rollout.
