Creating Overnight Shifts

Key Points

  • Overnight shifts are created directly from the Roster Schedule.

  • FlowLogic automatically detects when a shift runs across two calendar days.

  • Overnight shifts default to Sleepover unless toggled to Awake.

  • The Awake toggle adjusts how active hours are calculated.

  • Overnight shifts are visually split across two days in the roster.

Creating an Overnight Shift

Step 1 – Open the Roster Schedule

Navigate to Roster Schedule from the left-hand section menu.

Step 2 – Select a Time on the Grid

Click anywhere on the roster grid to create the shift.

Example:

  • Create an overnight shift for Alana on Saturday.

Step 3 – Enter Start and End Times

Set the shift times so they cross into the following day.

Example:

  • Start: 8:00 pm

  • End: 8:00 am (next morning)

You can enter times in:

  • 12-hour format, or

  • 24-hour format (e.g. 20:00 to 08:00)

Below the time fields, you will also see whether the staff member is available during that period.

Click Create Shift.

Understanding Overnight Recognition

After clicking Create Shift, you will be taken to the Shift Details screen.

Because the shift crosses midnight, FlowLogic will:

  • Recognise it as an overnight shift

  • Display a message confirming:

    • Start date and time

    • End date and time

    • That it requires confirmation as either an awake or a sleepover

Sleepover vs Awake Toggle

By default, overnight shifts are treated as Sleepover shifts.

On the right-hand side of the screen, you will see the Awake toggle.

Sleepover (Toggle Off)

  • Displays reduced active hours

  • Example: 4 active hours within 12 total hours

Awake (Toggle On)

  • Displays full active hours

  • Example: 12 active hours

When you toggle this setting, the active hours at the top of the screen will automatically adjust.

Completing Shift Details

After confirming whether the shift is a sleepover or awake, continue completing the shift:

  • Select the client

  • Add billing information (if required)

  • Record travel or transport

FlowLogic allows:

  • Multiple clients on one shift

  • Multiple staff on one shift

  • More than one travel or transport entry

When finished, click Save at the bottom of the screen.

Viewing the Overnight Shift in the Roster

Once saved:

  • The shift will automatically split across two calendar days

  • This keeps time tracking accurate while maintaining correct billing

  • A moon symbol will appear on the shift to indicate it runs overnight

This visual indicator makes overnight shifts easy to identify at a glance.
