15 – FlowLogic Reports

In this session, we’ll walk through practical, hands-on training to utilise FlowLogic Reports, providing powerful tools for your organisation covering various types like performance, financial, and trend analysis.

Covering a both the suite of prebuilt reports and demonstrating the FlowLogic custom reports functionality, this session is not to be missed by anyone looking to use Reports for focused data analysis, better decision-making, and efficient communication of crucial information to different stakeholders, from executives to department teams..

  • Overview of Flow Logic Reporting System: Daniel provided a comprehensive walkthrough of FlowLogic’s reporting capabilities, including system and user-created reports, report permissions, and the distinction between old and new report views.
    • Types of Reports: Daniel explained the difference between system reports (pre-built, non-editable, often covering finance and rostering) and user-created reports (customizable to specific data needs), and highlighted the absence of payroll reports in the main reports section due to pay period dependencies.
    • Accessing Payroll Reports: Payroll-related reports are accessible through the export timesheets functionality, where users can select a payroll period and generate reports such as overtime, which are downloadable as CSV files.
    • Report Permissions and Security: Daniel detailed how report access can be controlled at both group and individual levels, allowing organizations to restrict visibility and editing rights for sensitive reports, using examples like finance admin teams and support coordinators.
    • Old vs. New Report Views: Daniel described the transition from the old view (simple data tables) to the new view (enhanced reporting features), noting that the new view offers more powerful filtering, grouping, and export options, and will eventually replace the old view.

  • Creating and Customizing Reports in Flow Logic: Daniel demonstrated step-by-step how to create both simple and advanced reports in Flow Logic, covering report setup, privacy settings, data selection, filtering, exporting, and advanced features such as grouping and multi-form (nested) reports.
    • Simple Report Creation: Daniel walked through creating a basic staff contact list report, selecting relevant fields (first name, last name, mobile number, email), setting privacy to private or public, and applying filters such as active staff status.
    • Filtering and Permissions: He explained the importance of including filterable fields in the report, demonstrated how to restrict report data by site or area, and reiterated how to set read and write permissions for report access and editing.
    • Exporting and Formatting Reports: Daniel showed how to export reports in various formats (PDF, Excel, CSV), highlighting that Excel exports retain correct data formatting, and described how to hide columns like UID and SID for cleaner stakeholder reports.
    • Advanced Features: Grouping and Calculations: He demonstrated grouping data by fields (e.g., email address), using built-in functions like count, average, and median, and filtering data live within the report view for targeted exports.
    • Building Multi-Form (Nested) Reports: Daniel provided an example of creating a comprehensive staff probity report by combining primary staff details with multiple secondary records (e.g., driver’s license, first aid, insurance), using the ‘latest SID’ filter to show only the most recent records, and advised on unique field labeling for clarity.
