Funding Allocation Requirements

Funding allocation forms allocate a service item or a service item category to a client along with an assigned dollar amount. 

This form will drive the entirety of the funding and invoicing throughout Flowlogic for each individual client, as well as the tracking of the client’s financial plan. As such, it is imperative these are set up correctly to allow Flowlogic the ability to drive invoices to the correct destination.

If a client has multiple line items being directed to the same funding administrator, they can be set up together in one single funding allocation.

If a client has more than one funding entity, being either: self-managed, plan managed or Direct to Provider Digital Access (Proda), a separate funding allocation must be set up for each entity.

This section will cover off the requirements when building a funding allocation form. Please note this is strictly for new forms being built and these changes should not be made to a pre-existing funding allocation form without first consulting your Data Captain or our support line (1300 552 166).

All Funding allocations forms MUST contain the following system tags in the form editor view.

Mandatory Fields

Furthermore the funding allocation has need for Mandatory fields to be setup to ensure the system can correctly identify the required information for the processing of funding.

The following fields MUST be configured for full funding claim support. The label of these fields however can be adjusted to further suit your needs if required.

Allocation Start Date

Purpose: Specify when item/category and funds are available to the client

  • Field type: Date
  • Field mandatory: Yes
  • System Tags: date, start

Allocation End Date

Purpose: Specify when item/category and funds cease to be available to the client

  • Field type: Date
  • Field mandatory: Yes
  • System Tags: date, end

Service Item

Purpose: Specify the item or category designated to the client for the allocation of their funds

  • Field type: Service Item (allow category selection: yes or no)
  • Multiple selection allowed
  • Field mandatory: Yes
  • System tags: service, allocation, identifier

Funding Administrator

Purpose: Specify who is responsible for managing and disbursing the funds and drives where in Flowlogic the invoices are to be generated

  • Field type: Funding Administrator
  • Field mandatory: Yes
  • System tags: funding, contact, classification

Claim to Portal

Purpose: Specify if matching items can be claimed directly from a funding body

  • Field type: Checkbox (single)
  • System tags: exchange, claim, authorisation
  • Default value: {empty} or yes

Dollar Amount Allocated

Purpose: Specify total funds allocated

  • Field type: Currency
  • Field mandatory: Yes
  • System tags: credit, amount

Optional Fields

In addition to the common optional fields, the following fields can be used if configured correctly to allow for further functionality. If you have any questions or queries regarding this advanced setup please consult your Data Captain.

Label

Purpose: Internal classification for funding allocation

  • Field Type: Free Text

Unit Amount

Purpose: Display item-unit amount and assist with automatic calculation of allocation amount (based on quantity)

  • Field type: Currency
  • System tags: unit, amount

Current Service Item Amount

Purpose: Display current service item-unit amount

  • Field type: Currency
  • Readonly: Yes
  • System tags: product, amount, current

Allocated Quantity

Purpose: Assist with automatic calculation of allocation amount (based on unit amount)

  • Field type: Number (decimal)
  • Field validation: Regular Expression /^\d+(.\d{1,4})?$/ (limits input to four decimal places)
  • System tags: unit, quantity

Debtor/Funding Administrator’s Name

Purpose: Specify who must be invoiced for items/services delivered

  • Field type: TBA
  • System tags: debtor

Service Agreement this links to

Purpose: Allows for the funding allocation to push through into a service agreement

  • Field Type: Look Up
