Record Locks Feature

Manual Locks

Record Locks is a tool that enables the user to “Lock” a record preventing anyone else from further editing until an admin staff member has removed the lock in place.

The ability to apply a lock is provided by the right labelled “Record savelock”. Once provided staff will be able to select the ‘Save & Lock” button at the base of a form when editing (Shown below).

When selecting this option you will need to further confirm your understanding of the action you’re about to perform.

If you choose to proceed, you will then again be presented with this warning to ensure there are no accidental locks applied to any record within the system.

If you select ‘Yes’ again the record will be locked and you cannot edit the record further, until such time as an admin member ‘unlocks’ the record in the Record Locks section (Shown below)

If you have access to the Record Locks section you will also have the ability to directly edit the locked record without the requirement for unlocking the record beforehand. For anyone other users however they will no longer be able to make changes to the record. Please see the admin “Edit record” option below.

All records which have been locked will display this message at the top of the page to indicate when the lock was put in place and which user specifically applied the lock to the record.

Temporary Locks

Additionally, if a record is currently being edited by a user and another user attempts to edit the same record you will be presented with this warning this:

The record lock section is broken into two areas, Permanent Locks; which are manual locks, and Temporary Locks; which refers to any records currently being edited. You can choose to unlock the records, which will then allow any user (with access) to then edit the record.

*Note* If you unlock a temporary record and changes are made to the record by the other user these changes will either be overridden if you are to save your version of the record last or alternatively these changes will overwrite your current version if the other user is to save theirs changes last.
