Roster Resources

Understanding Roster Resources

Roster resources define the entities that can appear on the roster.

These typically include:

Staff members
Clients or participants
Open shifts
Custom task categories / Custom Roster Resources

Resources provide flexibility when building schedules, allowing managers to roster staff not only against clients but also against internal activities such as training or administrative work.

Accessing Roster Resources

Roster resources are managed through the Roster Admin tools.

To access this section:

  1. Open the Roster Schedule.

  2. Click the Admin menu in the top-right corner.

  3. Select Resources.

This will open the Roster Resources management page.

Staff Resources

By default, the Resources page loads in the Staff view.

This view displays all staff members available for rostering.

Each staff resource includes key information such as:

Staff name
Staff ID
Login username
Record ID
Payroll classification
Active status

Administrators can also:

Activate or deactivate staff resources

Archive staff who are no longer active

Edit staff details when required

To modify a staff resource:

  1. Locate the staff member in the list.

  2. Click Edit on the far right.

This opens the resource details page, where you can adjust settings such as availability and payroll settings.

Client Resources

Client resources are the participants or clients for whom staff provide services.

To view client resources:

  1. Locate the resource type dropdown in the top-left corner.

  2. Change the selection from Staff to Client.

This will display all client resources available for rostering.

The layout is similar to the staff resources view and includes options to:

Edit client resources

Activate or deactivate records

Archive client resources

Creating Custom Client Resources

FlowLogic also allows the creation of custom roster resources.

These can be used when rostering staff for tasks that are not linked to a specific client.

Examples include:

Cleaning shifts
Administrative tasks
Staff training
Office duties

To create a custom roster resource:

  1. Open the Client resources view.

  2. Click Add Resource in the top-right corner.

  3. Enter the resource details.

You will typically provide:

Resource name
Area or location

Once entered, click Save to create the new resource.

Using Custom Resources in the Roster

After creating a custom resource, it will appear in the roster when viewing the Client roster view.

To access it:

  1. Open the Roster Schedule.

  2. Switch the roster view to Client.

The new resource will appear alongside standard client resources and can be used to assign staff to internal tasks.

This feature is particularly useful for scheduling work that:

Does not involve a specific client

Does not require billing

Still needs to be tracked in the roster.

✔ Use staff resources to manage employee scheduling
✔ Use client resources for service delivery shifts
✔ Create custom resources for internal duties or non-billable work
✔ Archive inactive resources to keep the roster organised
✔ Use search and filters to quickly locate resources
