Setting Up Assignments in Contract Management

Overview

Assignments in the Contract Management tab allow you to track work done under a specific assignment and cost category, and have that information flow through correctly to your financial software. This is useful for organisations that need to separate work across different funding streams or service types.

Accessing Contract Management

Go to System Menu – Users. If you can’t see this section, you’ll need the appropriate user right added to your account – speak to your admin team or the FlowLogic team to get that sorted.



Find the user you’d like to set up an assignment for and click
Edit on their profile. Then click the Contract Management tab at the top of their profile. Any existing contracts and assignments will be listed here. If none have been created yet, you’ll see a prompt to set up your first one.

Creating a New Assignment

Click New Assignment and fill in the following:

  • Assignment ID – the identifier that will be exported to your financial software. This is typically a specific code or reference number that your financial software recognises
  • Assignment Label – a name for the assignment, which can be a combination of text and numbers

Once you’ve filled in both fields, select the cost categories you want to include. You can choose either an entire cost category group or individual cost categories depending on your needs. Your selection will pull through into the assignment straight away.



When you’re happy with your selections, click
Save. The assignment will appear in the Contract Management tab.

Managing Multiple Assignments

To add another assignment for the same user, click New Assignment again and repeat the process with a different ID, label, and cost category selection. Each assignment will be listed clearly within the tab so you can see everything at a glance.

To make changes to an existing assignment, click Edit on the right-hand side of the entry, update the relevant fields, and save. To remove an assignment that’s no longer needed, click Delete on the same row.

Connecting to Your Export Integration

Assignments come together in your Export Integration setup. When configuring an export template, you can assign the entitlement code to pull through on the export. This ensures all work completed under that cost category is correctly tagged with the assignment ID and flows through accurately to your financial software.
