SIL Rostering

Creating a SIL Shift

SIL rostering begins by creating a shift in the Roster Schedule.

  1. Navigate to Roster Schedule.

  2. Select the time and staff member for the shift.

  3. Open the Shift Details screen.

The shift can then be configured with the appropriate staff member, clients, billing items, and SIL home area.

Assigning the SIL Home

Many organisations configure Areas to represent SIL homes.

Assigning an area to a shift allows you to:

Attach export codes for financial reporting.

Filter the roster by specific homes or sites.

Group shifts for easier review and management.

To assign a SIL home:

  1. Open the shift details.

  2. Select the appropriate Area from the dropdown list.

This ensures the shift is linked to the correct SIL property.

Other Options:
Some organisations configure a participant record to represent the SIL home. This can be added either as a physical record in the participant section or as a roster resource. 



When assigning clients in the shift modal, also include the SIL home ‘client’ to the shift to help with filtering and checking rosters later on. 

Billing:

To avoid the billing warning around having at least one billable attached, you can use a non-chargeable line item to cover this part of the billing.

Adding Clients to the Shift

Clients receiving support during the shift must be added to the shift record.

  1. Open the shift details screen.

  2. Add the relevant client records.

Multiple clients can be added to the same shift when support is shared.

Once clients are added, the appropriate billing method can be applied.

SIL Billing Methods

There are two common approaches used when billing SIL supports.

These include:

Weekly billing items –

Individual support items – 

The correct approach will depend on your organisation’s funding structure and NDIS claiming method.

Weekly Billing Items

Some SIL providers use bundled weekly support items.

When using weekly items:

The billing code only needs to be applied once per week.

FlowLogic will ensure that only one unit exports, regardless of how many shifts occur during that week.

This method is commonly used when SIL funding is delivered under a weekly support arrangement.

Best practice recommendations include:

Applying the weekly item to only one shift per week.

Leaving other shifts non-billable or without billing items.

This prevents confusion when reviewing billing activity.

Individual Support Items

Some organisations prefer to bill SIL support per shift.

In this approach:

Each shift contains its own support item.

The billing quantity reflects the hours delivered.

Example:

An eight hour shift would normally be billed as eight units.

This method provides greater control over:

Individual client billing

Funding utilisation

Attendance variations

Billing Ratios for Shared Supports

When multiple clients receive support during the same shift, billing ratios can be used.

Billing ratios allow the cost of the shift to be shared between clients.

Example:

An eight hour shift supporting two clients.

Billing ratio set to 1:2.

Each client is billed for half of the shift duration.

FlowLogic automatically adjusts the billed quantity to reflect the ratio.

This ensures accurate billing while maintaining shared support structures.

Multiple Staff Scenarios

Billing ratios should only be used when multiple clients share the same staff support.

If multiple staff are supporting a single client, ratios should not be used.

Instead, the billing quantity should be increased to reflect the additional staff hours.

Example:

Two staff supporting one client for eight hours.

The billed quantity should reflect sixteen hours of support.

Using ratios in this situation may increase the support item price incorrectly and could result in NDIS claim rejection.

Saving the Shift

Once the following information has been configured:

Staff member

Area (SIL home)

Clients

Billing items

Ratios or quantities

The shift can be saved.

FlowLogic may display warnings such as:

Overtime alerts

Scheduling conflicts

These warnings can be reviewed before finalising the shift.

Filtering SIL Shifts

Roster filters can be used to quickly locate shifts associated with a specific SIL home.

To filter SIL shifts:

  1. Open Roster Filters.

  2. Select the relevant Area or Site.

  3. Apply the filter.

The roster will then display only the shifts associated with that location.

This helps administrators review:

Staffing coverage

Support allocation

Billing configuration

Roster patterns across the home.

✔ Use billing ratios when multiple clients share support
