Understanding and Managing Completion Statuses on Shifts

Shift completion statuses control how shifts interact with billing and payroll.

FlowLogic has four completion statuses for shifts.

Auto-Completed shifts (blue tick) are the recommended and most reliable outcome.

Completed shifts (green tick) are used for billing only.

Uncompleted and Auto-Uncompleted shifts indicate work that has not yet been finalised.

Completion statuses can be updated manually or automatically through timesheets.

Understanding Completion Statuses

In FlowLogic, each shift has a completion status that indicates whether the shift has been finalised for billing and payroll.

There are four possible statuses:

Uncompleted
Auto-Uncompleted
Completed
Auto-Completed

Each status plays a different role in the workflow and helps track whether a shift has been processed correctly.

Uncompleted Shifts

An Uncompleted shift is identified by a black and white cross icon on the shift tile.

This status indicates that the shift has not yet been marked as finished.

Uncompleted shifts may occur when:

The shift has not yet been reviewed.

A manual change has been made to the completion status.

The shift requires further action before billing or payroll.

Uncompleted shifts should be reviewed to ensure they are processed correctly.

Auto-Uncompleted Shifts

Auto-Uncompleted is the default status for newly created shifts.

These shifts appear blank on the roster with no completion icon.

This status simply means:

The shift exists in the roster
But it has not yet been completed or processed

Once work has been performed and timesheets are submitted, the shift status will change automatically.

Completed Shifts

A completed shift is displayed with a green tick icon.

This status indicates that the shift has been completed for billing purposes only.

Important

Completed shifts do not trigger payroll.

This status is typically used when:

Timesheets are not required

Billing needs to be finalised manually

The shift must be invoiced without linking to payroll

Because payroll is not triggered, this status should only be used when appropriate for your organisation’s workflow.

Auto-Completed Shifts

An Auto-Completed shift is displayed with a blue tick icon.

This is the ideal completion status for most shifts.

Auto-Completed means:

A timesheet has been submitted for the shift.

The timesheet is linked to the rostered shift.

Once approved, both payroll and billing can be processed correctly.

This automatic link between shifts and timesheets ensures the workflow remains accurate and efficient.

Updating Completion Status

Completion statuses can be updated in several ways.

Option 1 – Right-Click the Shift

  1. Right-click on the shift tile.

  2. Scroll to the bottom of the shift details menu.

  3. Select the desired completion status.

Option 2 – Edit the Shift

  1. Open the shift details screen.

  2. Locate the completion status field.

  3. Update the status manually.

Option 3 – Bulk Actions

Bulk actions allow you to update multiple shifts at once.

This is useful when completing or adjusting several shifts across a roster period.

Best Practice Workflow

The recommended workflow is to allow shifts to become Auto-Completed automatically.

This occurs when:

Staff submit their timesheets
Timesheets are approved
The system links the timesheet to the rostered shift

This ensures:

Payroll is processed correctly
Billing is generated accurately
Administrative work is reduced

Weekly Roster Review

At the end of each roster period, it is good practice to review the roster.

Check that shifts which should be paid are marked with the blue Auto-Completed tick.

This confirms that:

Timesheets have been submitted
Payroll is ready for processing
Billing will export correctly

Regular checks help prevent delays in payroll or invoicing.

Best Practice Recommendations

✔ Allow shifts to become Auto-Completed through timesheets
✔ Use completed shifts only when billing without payroll
✔ Review completion statuses at the end of each week
✔ Use bulk actions when updating multiple shifts
✔ Ensure timesheets are submitted and approved promptly
