11 – Xero API and MYOB API

In this session, we’ll walk though FlowLogic Invoice exports specifically regarding the Xero and MYOB API integration.

The ability of FlowLogic to export Invoice data to your chosen Financial software is one of the core features in the FlowLogic Financial Exports functionality, and this is even further enhanced with the use of API connections providing an automatic and low touch solution, while removing manual data entry or adjustment in the Invoicing process to streamline the Financial teams daily processes, and ensuring prompt payment of the services you deliver.

In this session we will go through the process of exporting Invoices though both the Xero API and the MYOB API, with a little revision as to the overall process, ensuring your data is as accurate as possible all while maintaining a low-touch approach from your finance team.

  • Overview of Xero and MYOB API Integration in FlowLogic: Daniel provided a comprehensive walkthrough of how FlowLogic integrates with Xero and MYOB APIs, explaining the benefits, setup requirements, and the process for exporting timesheets, leave, and invoices, with specific attention to data security and synchronization details.

  • API Function and Benefits: Daniel explained that APIs allow FlowLogic to communicate directly with financial software like Xero and MYOB, eliminating the need for manual CSV downloads and uploads, which improves both efficiency and data security by reducing the risk of privacy breaches.

  • Data Transfer Requirements: Only approved timesheets, leave items, and completed invoices are eligible for export from FlowLogic to Xero or MYOB, ensuring that only verified data is transferred; draft or unapproved items remain in FlowLogic until processed.

  • Cost Category and Pay Item Setup: For successful synchronization, pay items in Xero must be set up with units of ‘hours’ and names must match exactly between FlowLogic and Xero or MYOB, including capitalization and spacing; Daniel emphasized the importance of copying and pasting to avoid errors.

  • Exporting and Syncing Data: Daniel demonstrated the export process for timesheets, leave, and invoices, showing how items are sent in draft status to Xero or MYOB, and explained how to revert processed items in FlowLogic for corrections, noting that deletions must be handled manually in the financial software.

  • User and Leave Type Synchronization: Users and leave types must be manually synced between FlowLogic and Xero or MYOB, with exact matching of names or card IDs; FlowLogic provides tools to check and confirm synchronization, and highlights any discrepancies for resolution.

  • MYOB API Integration Features and Differences: Daniel described the MYOB API integration, highlighting its similarities to Xero and its unique ability to sync users, clients, and funding administrators via card ID or name, and discussed the process for verifying pay items and exporting data.

  • User and Client Sync Options: MYOB allows synchronization of staff, clients, and funding administrators using either name or card ID, providing flexibility in matching records between FlowLogic and MYOB; card IDs are found in staff and client details pages.

  • Pay Item Verification: When entering pay items for cost categories in MYOB, FlowLogic checks in real time whether the pay item exists in MYOB, immediately flagging any mismatches to ensure accuracy before exporting data.

  • Export Process Parity: The export process for timesheets, leave, and invoices in MYOB mirrors that of Xero, with only approved items eligible for export and the need to manually revert and delete processed items if corrections are required.
